Club Woodham – Terms & Conditions

 

Membership


  • All memberships are personal and non-transferable.
  • Members must be aged 16 or over unless part of a designated youth program.
  • By joining Club Woodham, you agree to abide by all club rules and policies.
  • When entering the club for the first time please ensure you have a form of ID to confirm your membership.


Health & Safety

 

  • Members must complete a PAR-Q form before participating in any physical activity.
  • If you have any health concerns, consult your doctor before using the gym.
  • Members must use equipment safely and as instructed; inductions are available upon request.

 

Gym Etiquette

 

To ensure a respectful, hygienic, and welcoming space for all members, please follow these guidelines:


  • Wipe down equipment after use using the cleaning sprays and cloths provided.
  • Return all weights and equipment to their correct place when finished.
  • Respect personal space – do not crowd or interrupt others mid-set.
  • Avoid excessive noise, including dropping weights or playing loud music.
  • Use a towel when training, especially on benches and mats.
  • Share equipment during peak times by allowing others to work in between sets.
  • No phone calls on the gym floor; keep personal use discreet and respectful.
  • Wear appropriate attire, including clean trainers and proper gym clothing. No jeans, work clothes, school uniforms, boots, flip-flops, sliders, or Crocs are allowed.


Repeated failure to follow etiquette may result in restricted access or suspension of membership. 


Gym Usage


  • Respect all staff, members, and the facility at all times.
  • All members are required to take part in an induction. Reassessment sessions can be booked at reception by members wishing to enhance their gym experience. Gym instructors are on shift throughout the day, should you have any questions or require any advice. Personal training and nutritional consultation are available upon request at an additional cost.
  • Bags and personal belongings must be stored in lockers, not left on the gym floor.

 

Payments & Cancellations

 

  • Membership fees are due monthly in advance.
  • A minimum 30-day notice period is required to cancel or freeze memberships. Cancellations are only accepted on the appropriate club email (info@clubwoodham.co.uk) or club form, direct cancellation without any contact with the club will breach your agreement and will incur an extra charge.
  • Members may freeze their membership by calendar month by giving at least 5 working days' notice before their next direct debit date, and can be put on hold per calendar month, not part-month.
  • Joint members are required to become individual members in the event of the "main" member terminating his/her membership. This involves paying the monthly subscription at the individual rate rather than the joint rate. If a joint membership turns into a single membership, then any discount applied will automatically cease and revert to the single member's rate.
  • Missed payments may result in restricted access until resolved.


Class Bookings

 

  • Classes must be booked via our app or at reception.
  • Please cancel with at least 2 hours' notice if you're unable to attend.
  • Repeated no-shows may result in a temporary block on booking privileges.


Personal Training

 

  • Personal Training sessions must be paid for in advance.
  • 24 hours' notice is required for cancellations or rescheduling, otherwise the session will be lost.


Opening Hours & Closures

 

Club hours may vary on public holidays or for maintenance.

We reserve the right to close parts of the gym or cancel classes when necessary.

Conduct & Termination

 

  • Any abusive, threatening, or inappropriate behaviour will result in immediate suspension or termination of membership.
  • Management reserves the right to refuse entry or cancel membership at any time for breach of rules.


Privacy & Data


  • We comply with GDPR and will only use your data for Club Woodham operations and communication.
  • CCTV is in operation for your safety.
  • From time to time, we may capture photos or videos within the club for marketing and social media purposes. We will always:
  • Seek verbal or written consent before using identifiable images of individuals.
  • Avoid filming or photographing anyone without permission. The use of tripods is prohibited during the club's peak times. 
  • Respect your right to opt out at any time. You can notify staff if you do not wish to be included in any media.
  • Any social media content posted by members must respect the privacy and dignity of others, including the club. Filming other members without their explicit consent is strictly prohibited.
  • We reserve the right to ask members not to film content. 
  • We reserve the right to ask members to remove any social media content that breaches these guidelines.

  • Terms and Conditions are subject to change. Members will be notified of significant updates.
